KEEPING RECORDS – INSTITUTIONAL MEMORY
It is extremely important for congregations to keep a record of all work done on the property. Some congregations have been quite careless about this. That makes it much more difficult later on for conditions to be assessed and contractors to proceed. A Property Committee filing cabinet should be maintained and kept separate from other church records.
FUND RAISING

Michael Rebic administers directly:
a) Materials Grant fund which can pay for supplies for property jobs undertaken by volunteers (e.g. paint, rollers, drop cloths for painting; or supplies for carpentry or other fix it jobs) when purchased from reasonable-price stores like Home Depot or Lowe’s.
b) Energy Stewardship fund which will pay for compact incandescent replacements for regular and florescent light bulbs, and replacement of old refrigerators and air conditioners with StarEnergy appliances up to $1000 in cost, and additional costs up to $500 more than that, if matched by the congregation.
WHAT’S REQUIRED. For both funds, applications need to be submitted and approved BEFORE purchases are made. In the case of a) Materials, a simple letter to Michael with the description of the job and materials to be purchased may be mailed or faxed to him. He can get approval out in 3 or 4 days. In the case of b) Energy Stewardship, an application form (available from Michael) may be mailed or faxed.
2. The Property Committeee of the Diocese of NY administers a larger $370,0000 fund annually for external workto buildings, primarily, to render them structurally sound and safe from water penetration. By and large, interior work is not funded. The application form can be downloaded from the Diocesan website.
WHAT’S REQUIRED. In our case, most of our external work is completed. Some interior and exterior structural work remains to be done. If we apply, we should pull together a large, composite package of requests. Repeated small requests are discouraged. The package should differentiate the categories of work: church buildings from rectory; interior work from exterior; structural work from visual/cosmetic. Any application of ours to the Property Committee will be strengthened by a review and sign-off by our architect Larry Jones. It will also pay to send a draft application to Michael Rebic for his review before we send in our final version. If members of the Diocesan Property Committee come for a look, make sure place looks well cared for, e.g., junk in outside stairwell to boiler room at the back, and needed additional backyard clean-up.]
3. The Diocesan Property Committee also has $2.5 million in loan money available at 6%, payable in 10 years. St. Mary’s has borrowed some money for its major exterior projects from the Diocese, but most of our property loans have come from the Landmarks Conservancy which offers an even lower interest rate.
NOTE: At one of the parish meetings, this suggestion: particular parts of the sanctuary renovation project funded as memorials, with names of donors’ names shown on plaques or small plates.
Bear in mind: if we are doing something ourselves, with volunteers, Diocese can help pay for materials – if we ask in advance.
